5. Actions from the Activity Dashboard

The Match My Email Activity Dashboard allows Users to take actions on items beyond the automatic matching strategy.  To the right of each item in the list are individual actions that can be taken.  The buttons Match, Create, (and in the drop menu) Ignore, Reprocess and Edit Record are there to offer flexibility and more features.

If one selects multiple messages in the list using the checkboxes to the left of listings, or using the Select All top checkbox, one can perform actions in bulk with the command buttons at the top of the Dashboard.

These actions are detailed in the User Guide found on the Match My Email support page.  In brief:

  • The Match button is for manual matching. Manual matching allows a User to manually upload an email to a record in Salesforce that wouldn’t by default be synced there by MME.
  • The Create button allows a User to create a new record in Salesforce using the email, and data in it, to populate relevant fields.
  • The Ignore option allows a User to create a new ignore rule. End Users may only create ignore rules for themselves while Administrative Users can create ignore rules that apply to all Users.
  • Reprocess is a way to force the app to reconsider this item as if it is arriving into the Activity Dashboard for the first time. This is useful if one has modified matching rule choices, added or modified custom matching rules, added email address or records, changed ignore rules, or is in the process of troubleshooting an issue and hope to see resolution immediately.  While No Match messages are automatically reprocessed with a view to Salesforce matching, manual reprocessing is required to have the app address new Ignore rules on existing items or to have the app reconsider an email that has already been matched.
  • Edit Record is an option to pull up a Salesforce record and edit it with information that is contained in the email. This can be valuable for adding secondary email addresses, updating titles and address information on a record, or updating other record fields.  This does not sync an email to the record and provides a mechanism simply for editing a record.
  • The Download button in the bulk commands section only needs to be used when directed to do so by MME support staff. This would aggregate message selection(s) into a file and download it onto the User’s local computer.  When troubleshooting issues, it may be useful for a User to download and then attach this file to a support team member for analysis.
  • The Delete is, for the most part, self-explanatory. When an item is selected and Delete is chosen, there will be an added stop to confirm if one only wants to delete it from the MME Activity Dashboard or also, at the same time, from Salesforce.  In the latter case, this is only relevant if the item was matched to a record.  It is not necessary for Users to make use of this if to tidy up the Activity Dashboard content.  Remember that all items, matched or not, will only be present in this view for the Email Retention period length and then purged.  That said, if an email gets matched to Salesforce, perhaps in the absence of an important ignore rule, and does not need to be in Salesforce, the Delete option is an easy way to select one or a group of emails and remove them in bulk.
