There is nothing more frustrating than duplicate emails in Salesforce records that clutter up the user interface and use up Data Storage. Duplicates make it harder to efficiently find, read and manage emails in Salesforce. Duplicates distort email activity data and make it harder to track customer or user engagement.

Duplicate emails can arise for a number of reasons:

  • Multiple SFDC users addressed or CC:ed on the same email
  • Multiple SFDC users syncing emails from the same shared folder
  • Multiple SFDC users logging emails manually from Outlook or Gmail
  • Multiple Contacts addressed or CC:ed on the same email that then roll up to an Account or Opportunity
  • Multiple open Opportunities or Cases for the same Contact or Account

Once the emails have been uploaded permanently to Salesforce, their sharing settings are then “re-inflated” so that read, write and delete permissions in Salesforce continued to be observed.

Automatic deduplication is not easy. Match My Email’s development team worked for an entire year on the original MME dedupe algorithm. Based on more than eight years of customer feedback, the original algorithm has been finetuned to resolve highly technical dedupe issues that have arisen in non-mainstream email configurations. Match My Email compares up to 8 different email attributes when determining whether or not an email is unique or duplicate.
