Why Match My Email is the Better Solution than Salesforce Inbox
Salesforce email integration is one of the most important decisions any user can make. Picking the right email syncing app can make or break a Salesforce deployment.
Salesforce offers its own in-house solutions, primarily Salesforce INBOX, and certifies the solutions of third-party vendors on the AppExchange. Salesforce INBOX lacks these useful features offered by Match My Email
Match My Email has more granular privacy settings than Salesforce INBOX. With Salesforce INBOX, the reps and the manager will always see each other emails. While Match My Email provides managers the ability to grant that broad level of visibility among Users, it initially takes a more conservative approach. By Default, a sales manager can see his or her emails in Salesforce records as well as the emails of the sales rep working for them. However, Sales reps cannot see the manager’s emails in the same record. They only see their own emails and those of colleagues with the same role unless managers grant them broader permissions. This level of privacy control is not possible with Salesforce INBOX.
With Salesforce INBOX, email can be multi-matched automatically to multiple Contacts at once, emails can’t multi-match to different kinds of records simultaneously. For many workflows, flexible and comprehensive multi-matching is mission critical. Matching emails by Domain Name to Accounts is useful if there is a lot of turnover at a client and it is difficult to keep related Contacts current in Salesforce. Matching by Words or Numbers in the Subject Line allows precise matching of an email to a record. This precision matching also makes it possible to match emails when senders and recipients are not Salesforce Contacts. Body tagging works well if an organization is tracking correspondence to things like insurance policies, patient ID’s, order numbers or SKU’s. Match My Email’s custom syncing capabilities far exceed Salesforce INBOX or any other app on the AppExchange.
If an email is addressed to more than one member of the sales team, Match My Email will only upload one copy of the email to Salesforce based on a feature called Team Dedupe. Even though the email is compressed to a single copy, emails still follow the sharing settings in Salesforce.
Match My Email creates metadata related to each synced email. This metadata keeps track of time, date, direction, first and last emails, response intervals and emails totals. This metadata can be used in conjoined reports and List Views in Salesforce to tracks User activity, Cold / Hot Leads or Opportunities. Match My Email can filter out unwanted attachments by User or size. If certain users only want emails, not attachments, in Salesforce, that setting can be configured by an admin. Match My Email also filters out inline images, such as signature logos and social media icons, to eliminate attachment clutter in Salesforce. Administrative Users can modify the size of attachments that are uploaded across all Users and can modify the size of inline images that are automatically blocked.
Secondary Email Addresses
Match My Email can sync emails to multiple email addresses in any record type by simply specifying the record name and extra email address fields in Settings. Multiple email identities can also be added for users who have different email accounts and aliases. The app will keep track of all that complexity while generating easy-to-use data that can be used to track the email activity of all the user’s email identities.
Tags to block Confidential Email
Match My Email includes a feature by which tags can be defined to block matching of confidential email. Users can choose to block matching of messages into Salesforce for specific email addresses, specific email domains, when that email contains a User-defined confidential tag in the email body.
